AGREEMENT
This is an agreement between Camp Europe E. V. (hereinafter “CAMP EUROPE”), a registered non-profit association under the laws of Germany, and
APPLICANT NAME: ____________________________ (hereinafter “APPLICANT”)
regarding the application process for a summer camp placement at one of CAMP EUROPE’s partner camps in Europe.
This agreement shall be governed by and construed in accordance with the laws of the Federal Republic of Germany. Any disputes arising under or in connection with this agreement shall be submitted exclusively to the competent courts of Hamburg, Germany.

DEFINITIONS & UNDERSTANDINGS
APPLICANT – The person interested in becoming a PARTICIPANT.
PARTICIPANT – The person performing the agreed SERVICE at the Host Camp.
CAMP EUROPE – The provider of recruitment and placement services, including promotion, interviews, document collection, liaison with partner camps, and administration of the APPLICANT’s file up until an agreement is signed between the HOST and the APPLICANT.
HOST – Any partner summer camp that offers placements through CAMP EUROPE’s services.
CAMP EUROPE’s responsibilities are limited to the recruitment and application process only. CAMP EUROPE is not a party to, nor liable for, any subsequent contract between the APPLICANT and the HOST camp.
This document constitutes an Agreement with CAMP EUROPE, not a service contract.
APPLICANT AGREES TO:

Consent to the use and disclosure of personal information in accordance with CAMP EUROPE’s software provider’s privacy policy (Hanover).

Accept that upon confirming a placement, a separate contract will be established between the APPLICANT and the HOST, and CAMP EUROPE will be excluded from all liability.

Fulfill all financial obligations to become a PARTICIPANT and provide signed proof of acceptance of the placement.

Verify individually whether a visa or residence permit is required for the host country and complete all requirements (including interviews, fees, and documentation) at their own expense.

Hold a valid passport for at least three months beyond the placement end date and comply with all vaccination or entry requirements.
FEES, DEPOSITS & PAYMENTS

CAMP EUROPE incurs administrative expenses throughout the application process. If an APPLICANT withdraws after receiving a placement offer, the deposit payment is non-refundable.

At CAMP EUROPE’s discretion, partial refunds may be granted in cases of visa rejection, illness, or medical incapacity, subject to valid documentation.

A program fee is charged to all applicants (including return participants) to cover organizational costs.

Once a placement is offered, the APPLICANT must pay the full published fee and submit all required documents within the specified deadline.

Failure to complete payment within 30 days of placement confirmation will result in withdrawal from the program and forfeiture of the deposit.
APPLICATION PROCESS (2026)

Online Application:
Review all information about CAMP EUROPE’s programs and FAQs before completing the online application form. -
Interview:
Eligible applicants will be contacted for an interview (in person, by phone, or via video call). -
Placement Offer:
Upon a successful interview and profile review, CAMP EUROPE will issue a placement offer.-
The applicant has 21 days to confirm participation by submitting the signed Memorandum of Understanding (MOU) and all required documents.

Proof of travel booking (plane/bus/train) to training location

Proof of fee payment
Important: Acceptance into the CAMP EUROPE program does not guarantee a placement. If no placement is offered, the pre-interview deposit will be refunded.

Deadlines:

Refund claim deadline: July 3, 2026

CANCELLATION, REFUND & DISMISSAL POLICY
-
Cancellations must be submitted in writing to CAMP EUROPE immediately.
-
Withdrawals for non-medical reasons will result in forfeiture of deposits and insurance surcharges.
-
CAMP EUROPE reserves the right to reject or terminate any application at its discretion for valid reasons (including incomplete paperwork or misconduct).

Failure to disclose relevant information or comply with requirements may result in termination without refund.
BEHAVIOUR & CONDUCT
-
Participants must adhere to all Host Camp rules, behavioral policies, and CAMP EUROPE guidelines.

Hostile, aggressive, or non-compliant behavior may result in immediate expulsion from the program without reimbursement.

Participants agree to:

Arrive on time for training, transport, and placement.
-
Comply with all legal and internal regulations of both CAMP EUROPE and the Host Camp.

Perform assigned duties responsibly and respectfully.
-
Depart the host country no later than six (6) months after entry.

LIMITATIONS & LIABILITY
-
The PARTICIPANT acknowledges they are not an employee or agent of CAMP EUROPE or its affiliates.

CAMP EUROPE assumes no responsibility for the operations, management, or actions of Host Camps.
-
CAMP EUROPE and its representatives are released from all liability for injury, loss, damage, accident, delay, or expense arising from causes beyond control, including but not limited to:

Acts of God
-
War or terrorism
-
Strikes or political unrest
-
Sickness, quarantine, or government regulations
-
TRANSPORTATION
-
CAMP EUROPE does not provide air or ground transportation.

All travel costs are the sole responsibility of the Participant.
MEDICAL POLICY
-
Applicants must disclose all medical conditions during the application and interview stages.
-
Failure to disclose pre-existing conditions may result in dismissal and loss of payments.
-
Participants must purchase medical insurance covering the entire duration of their placement.
-
CAMP EUROPE reserves the right to cancel or delay participation if medical circumstances change before departure.
-
In case of medical emergency, CAMP EUROPE or its agents may, without liability, arrange medical treatment or hospitalization as deemed necessary.
